Where double bookings really start
A caller reserves a room while a walk-in is checking in. Someone writes the caller’s name on paper. Someone else confirms the walk-in on a phone. Each person sees a different version of availability.
The failure is not that staff are careless. It is that two channels can both promise the same limited resource without sharing an authoritative state.
What does an authoritative room record need?
Record the property, room or room type, stay dates, booking status, channel and any temporary hold. Availability checks should consider overlapping stays and verified extensions, not only today’s occupancy.
A soft hold should expire by an explicit policy; otherwise an abandoned reservation can block inventory forever.
How to handle simultaneous bookings
When two requests arrive at once, only one should be able to commit the final unit of inventory. Recheck availability when confirming, not just when the search screen first loaded. For changes that affect the same room and dates, transactional consistency or another explicit concurrency control is essential.
A cheerful success message is not enough unless the back-end state actually reserved the resource.
Extensions, room moves and cancellations
A guest wants to stay another night. Check that night before promising an extension. A room move should update the reservation and housekeeping plan together or leave a recoverable exception if coordination cannot complete. A cancellation should restore availability only according to the booking’s actual state and policy.
A spreadsheet may be adequate for a tiny operation when one person owns it. It becomes fragile the moment multiple channels act simultaneously.
When the conflict has already happened
Confirm both commitments, check genuine alternatives and escalate immediately. Be truthful with guests, document the accommodation offered and preserve an incident record for prevention.
Count near-misses as well as actual collisions. They tell you whether process changes are working.
